Privacy Policy
Last updated: October 4, 2026
This policy explains what information HospCreative collects, why, how we keep it safe, and how you can have it removed. It covers this website (hospcreative.com), our client services, and HospTools, the software we run for clients, including the HospTools app that connects to Google services with your permission.
HospCreative is a small business in McMinnville, Oregon, run by Clarke Hosp. Questions about this policy go to clarke@hospcreative.com.
1. Information we collect
When you visit this website
- Usage analytics. We use Google Analytics and Cloudflare Web Analytics to see which pages are visited and how people find us (for example, the search or ad that brought you). This uses cookies or similar technology and does not identify you by name.
- Campaign information. If you arrive from a link with campaign tags (such as UTM tags), we keep those tags with your booking so we know which campaign worked.
When you book a call or contact us
- The details you type in: name, email, phone number, and anything you write to us. Bookings are handled by our booking system (hosted at hello.hospcreative.com) so we can confirm and follow up.
When you are a client using HospTools
- Account details needed to run the service: your business name, the people on your account, and the settings and goals you choose.
- Data from accounts you connect. You choose which accounts to connect. We only receive what you grant, and we use read-only access wherever the service offers it. See section 3 for Google.
- Information about your own customers that already sits in your HospTools (GoHighLevel) account, such as bookings, invoices, reviews and messages, which our tools read to do the work you signed up for. You remain the owner of that data.
2. How we use information
- To provide the services you asked for: measure results, suggest and carry out improvements you approve, prepare reports, and answer your questions.
- To run and secure our systems and fix problems.
- To understand which of our own pages and campaigns work, using the website analytics above.
We do not sell personal information. We do not use your data or your customers' data for advertising, and we do not share it with data brokers.
3. Google user data (HospTools app)
If you connect a Google account or grant our Google account access to your Google services, HospTools can read the following, read-only:
| Google service | What we read | Why |
|---|---|---|
| Google Search Console | The list of your properties and search performance data (searches, impressions, clicks, positions, pages) | To confirm the connection works, measure your search visibility, and find search improvements for your site |
| Google Analytics (GA4) | The list of your properties and visit and conversion counts (for example, sessions and key events from organic search) | To confirm the connection and measure whether search and site changes bring more enquiries |
| Google Business Profile | Your business location details and reviews | To keep your listing accurate, help you reply to reviews, and measure profile activity |
| Google Ads | Which ad accounts we can access, and campaign spend and results | To report cost per booked call and flag wasted spend |
We store only what the service needs: account and property identifiers, a short record that a connection check passed, and the aggregated numbers listed above. Changes to your Google accounts (for example, posting to your Business Profile) are only made when you have opted in, and are logged.
Limited Use. HospTools' use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We use Google user data only to provide and improve the user-facing features described above. We do not sell it, do not use it for advertising, do not allow humans to read it except with your permission, for security, or to comply with the law, and do not use it to train general-purpose artificial intelligence models.
4. AI writing
Some HospTools features draft text such as posts, replies or messages. You choose who writes them: the AI built into your own GoHighLevel account, your own AI key inside GoHighLevel, or, for content with no personal details only, free third-party models. We do not send your customers' personal details or Google user data to free models. Drafts that go to your customers need your (or our) approval until you choose otherwise.
5. Who we share information with
Only the service providers we need to run the business, each for its own part of the work:
- Cloudflare (website hosting and security), Google (analytics, and the Google services you connect), and GoHighLevel (our booking and client account platform);
- the AI provider you choose for drafting (section 4);
- authorities, only if the law requires it.
6. How long we keep information and how to remove it
- Remove our access at any time. In each Google service, remove our account from its users (for example, Search Console → Settings → Users and permissions). If you signed in through the HospTools app, you can also remove it at myaccount.google.com/permissions. Our next check will show the connection as removed, and we stop reading that data.
- Deletion. Email clarke@hospcreative.com to have your data deleted. We delete data received from Google and other connected accounts within 30 days of the request or of the end of your service, except records we must keep by law (such as invoices).
- Website analytics are kept according to the providers' standard retention settings.
7. Security
Access credentials are stored on our own systems, never in your browser, and connections use encrypted HTTPS. We never ask you for your passwords; you give us access by adding our account in each service. Access is limited to the people who run the service.
8. Your choices and rights
You can ask to see, correct or delete the personal information we hold about you, and to stop receiving messages from us. Depending on where you live, you may have additional rights under local law. Contact us and we will respond within 30 days.
9. Children
Our website and services are for businesses and are not directed at children under 13. We do not knowingly collect their information.
10. Changes to this policy
If we change this policy, we will update the date at the top. If a change affects how we use data from accounts you connected, we will tell clients before it takes effect.
